Tinies Plymouth Holiday Club
Opening Times
The Holiday Clubs are normally available between 8:00am and 5:30pm, Monday to Friday, excluding Bank Holidays.
Unfortunately, children will not be able to enter the venue any earlier than 8:00am and parents are requested to ensure that they arrive at an appropriate time to collect their child/ren in order to leave by 5:30pm. It is important that parents adhere to these timings as Tinies are only insured during these times and therefore cannot be responsible for children outside of hours.
Admissions
• The Holiday Clubs are available to children from all schools and are registered for children aged 3 - 6 years
• The Holiday Clubs are targeted at nursery, infant and junior/primary school age children.
• It is advised that a minimum of two days is booked at each Holiday Club, as it assists children of all ages with the settling in process.
Special Needs
Tinies fully support applications from parents/guardians of children with special needs or disabilities to attend the Holiday Clubs. Each application will be assessed individually and every effort will be made to accommodate the child/ren. Where a child has specific needs, including a disability, admission will be based on:
• All parties agreeing that the environment is appropriate for the child
• The degree of integration ensures that the child is able to participate in a manner that is acceptable and enjoyable
• Opportunities are sought to bring in additional staff or provide specialist support if applicable.
All children with special needs will need to have a completed care plan logged with Tinies before they attend one of our settings. This so we can plan to provide the best care for your child. Registrations and care plans need to be regularly updated to detail any changes in your child’s needs or the care required to meet these needs.
Administration
• Parents are required to book their places in advance by either calling Tinies on 01566 773885 or emailing plymouth@tinies.com. Upon booking, an invoice will be sent out and a booking form. Places need to be paid for in advance and a place is not guaranteed until paid for. Please complete the relevant application in full and bring in on your child’s first day.
• A place cannot be confirmed until all information is received and correctly disclosed
• Information required includes; family details, child health information, details of anyone other than the regular parent/carer likely to collect the child from the scheme, an emergency contact, and arrangements for any special needs or additional requirements
• Parents are required to provide two contact telephone numbers that are always accessible to staff for the duration of their booking with the club.
We also request that you inform us of any changes that are likely to affect your child/children during their time with us.
• If you have not used the holiday club before you will need to register yourself as a new parent
• If you have previously registered, you will just need to call / email to book on
• Confirmation of your booking will be sent to you via email.
Payment of Fees
At Tinies we accept the following methods of payment:

Swapping Booked Holiday Club Dates
Tinies operate the following policy when swapping booked holiday club dates:
1) 24 hours notice (or more) given in writing, days will be swapped at no charge within the same holiday period, providing we have the space to do so
Holiday club spaces can only be changed once; once dates have been changed they are non-refundable.
Cancellation & Refund Policy
Tinies operate the following cancellation and refund policy:
1) 28 days’ notice (or more) given in writing, a full refund will be issued.
2) 7-14 days’ notice given in writing, a full refund will be issued minus a £10 administration fee
3) less than 7 days’ notice will result in no refund
Arrival
In order to comply with Ofsted regulations:
• All children must be signed in and out by their parent or guardian each day, please allow enough time each morning to do this
• Parents can use this time if they wish to discuss anything with a member of staff or complete the medication book or other forms
• Parents/carers must arrive at the correct Holiday Club entrance
• There are usually two staff members at the registration point to meet and greet parents and children
• Staff are there to answer any queries/concerns you may have
• Medication must be signed in at the reception by the parent/carer
• An appointed member of staff will be responsible for ensuring that the new
• Children are shown around the site and introduced to the group. Please note, this may not be your child’s key worker.
• Once the child is signed in, they will be encouraged to hang up their belongings in the designated cloakroom area.
Collection
• Children must be collected and signed out by parents or a nominated carer at the designated reception area specific to your setting
• Parents must inform the Holiday Club Leader if collection plans change and must always inform the Holiday Club Leader of the identity of the adult (i.e. a person aged 18 or over) responsible for collecting their child. The Holiday Club Leader will not allow a child to leave with anyone other than the identified person
• The specific security procedures for child collection must be adhered to at all times. (RE Password/ticket)
• Please ensure you have the Holiday Club mobile phone number with you whenever your child is in attendance in case you need to call us.
Non/Late - collection of children
In the event that a child remains at the Holiday Club after the official closing time (5.30pm), the Holiday Club Leader will carry out the following procedures:
1) Try to locate the parent or the person who has been authorised to collect the child.
2) If all attempts at contacting the parent or nominated person are unsuccessful, we will contact:
a) In the first instance, Social Services
b) The police
c) OFSTED
Please note: There will be a charge of £10 per child incurred for late collection per every 10 minutes.
Allocation of groups
• Each child attending the Holiday Club will be allocated a key worker
• Their Key worker, in conjunction with the larger team, will be responsible for ensuring that all children in their group are settled and happy
• The key worker is required to make regular observations on all children in their group. Enabling them to identify any concerns/issues and any activities that the children particularly enjoy. Parents are welcome to ask for feedback from the children's buddy group
• Every attempt will be made to ensure that group members are compatible, with friends remaining together wherever possible.
Security
In the interests of safety all visitors to the Holiday Club will be required to sign a visitor’s book on arrival and departure. Gates will be closed outside the morning registration and pick up times.
Specific settings have additional security measures in place which we ask all parents/ guardians to respect.
Meals and snacks
Children must bring a packed lunch and snacks in a suitable lunchbox/container if staying all day.
Please note we may have children attending with serious peanut allergies therefore we ask that peanut butter and nut based items are not included in your child’s packed lunch.
• Parents must provide their child with a packed lunch in a named container
• They should contain an ice pack to ensure that freshness is maintained.
• Drinking water is available throughout the day
• Fizzy drinks are not allowed at Holiday Club
• Children should not bring their lunch in a plastic carrier bag, due to safety risks.
The Holiday Club provides a varied and exciting programme of activities every day, and children will require all their energy. So, please ensure you have packed a nutritious well balanced lunch.
Activities
Our childcare provision is based on play, relaxation and fun. Tinies Childcare recognises that all activities create an opportunity for learning and development therefore we provide a varied and exciting schedule of activities that will both stimulate and interest children. In addition, more specialist activities and outings are arranged on specific days throughout the Holiday Club year.
Medication
• If your child requires prescribed medication while attending the Holiday Club it must be prescribed in the child’s own name, handed in on arrival and the medication book completed. Parents will be asked to sign it on each occasion stating the required dosage and the time of the last dosage prior to attending the Holiday Club.
• Where a child has an ongoing condition requiring regular medication e.g. an inhaler, or medication for emergency use e.g. epi pen* parents will only be required to sign on day one of attendance, providing all details relating to the condition have been entered on the care registration form.
• Non-prescribed medication such as Calpol and Piriton cannot be administered.
• Please note that unwell children cannot be catered for at the Holiday Club.
* Parents will be asked to provide members of staff with appropriate demonstrations for administering medication that require specific techniques
Supervision
• Children are supervised at all times whilst still being able to move freely between activities.
• We operate a staff/child ratio of 1:8 for all ages.
Parent Involvement
• We welcome parents to visit the Holiday Club site, but ask you to respect the onsite policies at all times
• On arrival and departure, parents must always sign the visitor’s book
• Parents must always sign their child out if they choose to take them off site for lunch and sign the child back in on their return
• The Manager/Leader are available for specific meetings by appointment
Concerns and Complaints
• Parents are encouraged to raise concerns and complaints with Tinies Childcare at any time
• We encourage parents to speak to staff on site, whilst your child is still attending the scheme, to ensure we gain a thorough and relevant understanding of any issue.

Clothing
• Children may partake in messy games or activities, so please do not send your child/ren to the Holiday Club in special clothes.
• Clearly label all belongings including lunch boxes and drinks with your child’s name
• During the summer holidays, children may wish to bring a spare set of clothing and a towel for water pistol madness!
• For younger children, it is also useful to have a change of clothes in case of any accidents.
Footwear
• Should be suitable to join in sporting and outdoor activities
• Open toed sandals are not permitted at the holiday Playscheme, Tinies highly recommend that children are put in trainers.
Rain or Shine
• Outdoor clothing should be provided as the children may go outside every day
• Please ensure that your child comes to Holiday Club with a waterproof and warm coat
• Please ensure that your child comes to the Holiday Club with their own sun cream and sun hat in the summer months
• The Holiday Club Manager reserves the right to keep a child in the shade or inside if it is deemed that they are at high risk of burning in the sun.
Behaviour
Tinies childcare reserves the right to request that any child whose behaviour is considered unacceptable to be removed from the holiday club. This includes physical violence to children or staff, non-acceptance of Holiday Club policies, attempting to leave the Holiday Club venue, theft, threatening the safety of themselves, other children or staff and verbal or racial abuse.
Personal Items and Lost Property
• Personal items including mobile phones, game boys and other expensive toys are not permitted at the holiday Playscheme
• Should your child bring such items, they will be locked in the office until home time
• Tinies Childcare accept no responsibility for loss of items on or off site during Playscheme hours
• If your child has lost any belongings, please ask onsite staff to check in the office.

FAQs
Where are the Holiday Clubs normally located?
The Holiday Clubs are normally located in local schools.
I normally use a Leisure Centre holiday club. Are the Holiday Clubs similar?
School based Holiday Clubs differ significantly from leisure centre and some other alternative holiday clubs. If you are not familiar with school based Holiday Clubs and are booking a place for the first time, you may wish to limit the period, so that you can decide whether this type of Holiday Club meets your needs.
What areas of the school are available to the children?
The main area used for the Holiday Club is a classroom where a number of activities are organised, such as a book corner, board game area, games console etc., for free play sessions. In addition, the children will have the use of a classroom which is dedicated to cooking, the art and crafts room, the gym and the school playground and/or sports field areas.
How many children can attend the Holiday Clubs in any one day?
The Holiday Clubs are normally available for up to 16 children each day.
Am I guaranteed a place for my child/ren?
No. In all cases you are recommended to book early to avoid disappointment.
Why are the opening hours restricted to 8.00 – 5.30?
The Tinies Holiday Clubs are intended to provide childcare during school holidays and are available for up to 9.5 hours. This is longer than many alternative facilities and exceeds the normal school day. Tinies Childcare does not recommend that we extend the hours.
What environment do the Holiday Club workers create?
The approach of the playleader and playworkers is relaxed and ultimately driven by the children's needs. The activities may therefore change on occasion, from the planned structure. Previous feedback from both parents and children, has confirmed that this approach has worked very well, but it may not suit all children or parents.
Is the use of the games console/videos monitored?
The use of the games console is only available to the children during the free play sessions (worked on a rota basis) and during scheduled fun team interactive sessions. Video sessions take the form of a structured event, for example when quiet time is needed following lunch or an active session, or at the end of the day. Only films rated U will be shown unless parents have indicated on the booking form that their child/ren may watch a PG rated film.
Can my child/ren bring their hand-held game to the Holiday Club, e.g. Nintendo DS/PSP?
Parents are requested not to allow children to bring personal items such as handheld games to the Holiday Club. The children won't be permitted to use them whilst at the Holiday Club as they can cause disruption and upset for the other children. Public Liability Insurance Policy does not cover personal possessions and thus Tinies can accept no responsibility for any loss of or damage to personal property/clothing/money.
Do the same staff work at the Holiday Clubs each year?
Every effort is made to try to attract staff who have previously worked at the Holiday Clubs, in order to provide some consistency for children who have attended before. This is not always however possible, so the children will see some new faces each time they attend.
Do the staff recruited meet the needs of all the children?
Tinies endeavour to employ a selection of staff to meet the differing needs of the children.
How do I provide feedback on my experiences with the Holiday Clubs?
Following each Holiday Club a feedback exercise is completed. This has proved to be a very useful process and has enabled us to improve the information available and the format of the Holiday Clubs. If your child/ren attends one of the Holiday Clubs, you will be asked via email to complete a feedback form following the end of the available period.
Enter the Millfields complex and inform security you are heading for the Prep School. The school have an entrance that is directly outside the school, and this is only open during the school holidays, so rather than turning left and following the sign that says ‘Plymouth College parents this way’, continue straight ahead, passing the 2 grey nuns on your right. At the end, the road bends to the left, and then on the right, go through the metal gates and park outside the school. Head for the main door and ring the indicated doorbell.
