Introduction

This notice applies to all online signup forms, events and projects coordinated by us, the Scottish Public Engagement Network (ScotPEN). We will process your data in accordance with the General Data Protection Regulation as applied, enacted and amended in UK law. The data controller for this event is the University of Glasgow.

Your personal information

Your personal information will be collected and processed for the following purposes:                                 

- Processing information you have provided to ScotPEN surveys or questionnaires.

- Processing your application for ScotPEN events and programmes.

- Providing email updates from ScotPEN about project news and events.

- Event photographs for the ScotPEN image bank, used on our website, social media and in printed publications. Explicit consent will always be sought before using any photographs in these ways.

Using your personal information

The legal basis for the processing of your information is consent.

Your information will be retained for up to 3 years, except in the case of photographs which will be held in the ScotPEN image bank indefinitely. You may contact mvls-engage@glasgow.ac.uk at any time to request that your information, including any photographs of you, is deleted.

 

Data security and sharing of your personal information

Personal data will be treated confidentially and held only on encrypted devices. ScotPEN’s organising committee consists of representatives from the following institutions, with whom data may occasionally be shared: University of Aberdeen; University of Dundee; University of Edinburgh; University of Glasgow; University of St Andrews; Edinburgh Napier University; Scotland’s Rural University College.

We use Jisc’s Online Surveys to provide online surveys. The information you provide will be transferred to Online Surveys for processing in accordance with their Privacy Policy.

Your rights and choices

In respect of your personal data held by us, you have the following qualified rights to:

·       access it

·       receive it in a structured machine readable format

·       rectify it if it is not accurate or complete

·       erase it, for example by removing your consent

·       restrict its processing

·       object to its processing

·       complain to the Information Commissioner’s Office (ICO)
