Privacy Notice for the Adam Smith Business School Welcome Meal


Your Personal Data

The ‘University of Glasgow’ will be what’s known as the ‘Data Controller’ of your personal data processed in relation to Welcome Meal. This privacy notice will explain how The University of Glasgow will process your personal data.


Why we need it

We are collecting your basic personal data such as name, Student ID and any dietary requirements to organise the catering for the Welcome Meal. We will only collect data that we need in order to provide and oversee this service to you.


Legal basis for processing your personal data

We must have a legal basis for the processing of all personal data.

Personal Data

  •       Contract – The legal basis we are relying upon for processing is ‘Contract’. Article 6 (1)(b) necessary for the performance of a contract.

          We will process personal data provided by you in your application form.  This personal data is:

          Full name, Student ID

Because we may also be processing Special Categories of Personal Data we must have a further legal basis for processing.


 Special Categories of Personal Data

  • Consent – The legal basis we are relying upon for processing Special Categories of Personal Data is ‘Consent’.  Article 9(1) (a) processing “special categories” of data where you have given consent – the University will process certain sensitive data about you with your explicit consent.
  • The Special Categories of Personal Data will be provided:

a)    by you and will relate to details of ‘special dietary requirements’ that you may have.  Because this information could identify any health conditions or religious beliefs that you may have, we regard this information as Special Categories of Personal Data and therefore require a further legal basis for processing. Special Categories of Personal Data will only apply if you provide us with details of any special dietary requirements that you have.


This information which will be processed as Special Categories of Personal Data may only be shared with third parties who require it in order to meet your specific dietary needs. 


What we do with your personal data and special categories of personal data and who we share it with


·         All the personal data you submit is processed by staff at the University of Glasgow in the United Kingdom. Some of your personal data (name and special dietary requirements ) will be shared with the Hilton Grosvenor.


How long do we keep it for?


Your data will be retained by the University for 6 months after the completion of the event. After this time, data will be securely deleted.


What are your rights?*


You can request access to the information we process about you at any time. If at any point you believe that the information we process relating to you is incorrect, you can request to see this information and may in some instances request to have it restricted, corrected or, erased. You may also have the right to object to the processing of data and the right to data portability. Where we have relied upon your consent to process your data, you also have the right to withdraw your consent at any time.

*Please note that the ability to exercise these rights will vary and depend on the legal basis on which the processing is being carried out. 

Complaints

If you wish to raise a complaint on how we have handled your personal data, you can contact the University Data Protection Officer who will investigate the matter.
